Third Bean Coffee Booking Terms
By reserving an event date with Third Bean Coffee, you agree to the following terms.
Deposit and Payment
A deposit is required to reserve your event date. We do not hold dates without a deposit. Deposit amounts are based on the estimated event total:
- Under $1,000: 50%
- $1,000 to $2,500: 40%
- $2,500 to $5,000: 35%
- Over $5,000: 25%
Your remaining balance is due seven (7) days before the event. Payments are accepted via Square.
Guest Count
Your package covers the guest count in your quote. Increases must be communicated at least 7 days in advance. Guest counts cannot be decreased for pricing adjustments after the deposit is paid.
Cancellation and Rescheduling
If you need to cancel or reschedule, the following policy applies:
- 30 or more days before the event: deposit is fully refundable.
- 8 to 29 days before the event: deposit is non-refundable, but 100% of the deposit can be credited toward a rescheduled event within 365 days, subject to availability.
- Within 7 days of the event: deposit is non-refundable, but 100% of the deposit amount can be credited toward a future event within 12 months, subject to availability.
All cancellation requests must be submitted in writing to hello@thirdbeancoffee.com.
Venue Requirements
The host or venue must provide: a flat surface (minimum 6ft x 4ft), step-free access to the service area, one dedicated 120V outlet within 50ft (not shared with other equipment), and adequate overhead shelter for outdoor setups.
In rain, high winds, or freezing temperatures, the cart must be stationed indoors or under a fully enclosed, heated tent.
Setup and Service
Our team arrives approximately one hour before service for complimentary setup (not counted toward your service hours). Breakdown takes approximately 45 minutes after service ends.
Liability and Insurance
Third Bean Coffee operates from a licensed commercial commissary kitchen in Plano, TX and carries comprehensive general liability insurance. Any venue-specific permitting must be communicated at least 14 days prior to the event.
A venue-specific certificate of insurance (COI) is available on request. Please allow 5 business days for processing.
